A well-planned baby shower feels effortless to guests — but that effortlessness is the result of careful preparation. This checklist walks you through every phase of the planning process.

6 Weeks Before

These are the foundational decisions that everything else builds on.

  • [ ] Confirm the date with the guest of honor
  • [ ] Set the budget
  • [ ] Choose the venue (home, private room, outdoor space)
  • [ ] Decide on the theme or aesthetic direction
  • [ ] Draft the guest list
  • [ ] Choose your co-host if applicable

4–5 Weeks Before

With the foundations set, it's time to put plans in motion.

  • [ ] Send invitations (digital or physical)
  • [ ] Book any vendors: caterer, photographer, florist
  • [ ] Order or begin making decorations
  • [ ] Plan the menu
  • [ ] Choose and order the cake
  • [ ] Plan the activities and games

Invitation Timing

Send invitations 4-5 weeks in advance for a local shower. For destination or larger events with out-of-town guests, 6-8 weeks is appropriate. Always include RSVP deadline 10 days before the event.

2–3 Weeks Before

  • [ ] Follow up with guests who haven't RSVP'd
  • [ ] Finalize headcount and adjust catering orders
  • [ ] Confirm all vendor bookings
  • [ ] Prepare or purchase favors
  • [ ] Create the event day timeline
  • [ ] Plan the gift table setup

1 Week Before

  • [ ] Confirm final RSVPs
  • [ ] Prepare any DIY elements (signage, favor packaging)
  • [ ] Grocery shop for non-perishables
  • [ ] Confirm all vendor arrival times
  • [ ] Prepare a day-of kit (tape, scissors, safety pins, pain reliever, stain remover)

2 Days Before

  • [ ] Set up decorations that can be done in advance
  • [ ] Prepare any dishes that keep well
  • [ ] Steam or press table linens
  • [ ] Charge cameras or phones
  • [ ] Prepare the gift-opening area

Day Of

  • [ ] Wake up early — everything takes longer than you expect
  • [ ] Set up the main food and dessert tables
  • [ ] Arrange fresh flowers and final decorations
  • [ ] Set out games and activities
  • [ ] Do a final sweep: lighting, music, temperature

What You'll Need

    During the Event
